RECEPTIONIST/ADMINISTRATOR ( P12 )
Sappi Southern Africa requires an efficient and professional Receptionist who will also perform secretarial duties to the General Manager Finance – Shared Services and administrative duties to enable the office to run smoothly. The successful incumbent will be required to work late occasionally.
THE ROLE REPORTS TO THE GENERAL MANAGER FINANCE – SHARED SERVICES
THE MAIN RESPONSIBILITIES OF THIS ROLE ARE:
Perform Secretarial duties and Reception
Answer and screen incoming calls and direct them accordingly
Take and deliver messages accurately
Welcome visitors and contractors in a friendly and professional manner, determine the nature of their business and direct them accordingly
Keep the reception area clean always
Monitor and maintain visitor access and security awareness
Assist visitors and contractors to find their way around the office
Book and maintain meeting rooms
Organise functions
Keep up to date with staff movements and maintain a movement schedule
Receive, sort and distribute mail and other deliveries
Responsible for outgoing courier services
Keep a daily and weekly register of deliveries and collections, including waybill numbers
Develop and maintain good working relationships to provide a collaborative service
Work closely with the IT Department to provide a collaborative service
Generate and submit monthly telephone reports to General Manager Finance – Shared Services
Update the list of employees monthly and distribute to all
Keep an up to date list of emergency and important contact details
Log calls, redirect and escalate telephone and other related faults to appropriate departments
Perform other ad-hoc duties as assigned by management
THE IDEAL CANDIDATE SHOULD:
Have Matric/ Grade 12
Having an Office Administration/Management Diploma will be an advantage
Have a minimum of 3 years’ experience working in Switchboard/Reception/ Secretarial environment
Display a knowledge of administrative and clerical procedures
Display a knowledge of customer service principles and practices
Be Computer literate in MS Office and basic SAP/R3
Have excellent verbal and written communication and problem-solving skills
Understand the value of building relationships
