General purpose of the job
The Executive Personal Assistant is responsible for assisting the Directors in the daily running of the business
Requirements
Matric
Secretarial Diploma/Qualification in Office Management will be an advantage
At least 10 years’ experience in a similar role
Advanced level for Microsoft Office – Word, PowerPoint, Excel
Fluent in English and Afrikaans
Must have own vehicle
Job Scope
Assistance to Executives
Diary management
* Booking & confirming appointments
* Reading, monitoring and responding to the executive’s emails
when required
* Daily confirmation of the following day’s client meetings
* Answering calls and handling queries if required
* Completing leave forms on behalf of Management
* Arrange meetings on behalf of executives
* Prepare correspondence on behalf of the executives
Travel arrangements for business and personal purposes
* Flights, Accommodation, Car rental, Visa’s
* Travel logbook for executives
* E toll account management
* Company vehicle management – e.g. Vehicle services, Vehicle
Licenses
Admin
* Compile client monthly timesheets on Fusion & capture on
electronic timesheets (Excel)
* Report writing for the purposes of presentation to clients
* Preparation of formal presentations
* Capture timesheets on Fusion for Executives
* Formatting of documents, presentations & proposals
Any other reasonable task requested from management from time to time
Office Administration and Management
Management of Receptionist and Cleaner
* Schedule for Cleaner
* Implementing KPIs for receptionist
Meetings
* Planning of monthly meetings on year planner
* Preparation & distribution of Meetings & Agendas
* Arrange refreshments for clients, EXCO meetings etc.
* Assist with ZOOM room connections
* Manage Skedda bookings (Boardroom bookings)
* Printing of WIFI vouchers – Daily
* Manage membership & bookings at Irene Country Club
Distribution of management communication to staff
Stationary
* Maintain stock levels on Stationery and Office Consumables
* Issuing of stationary to employees
* Maintain & ensure stock and neatness of storeroom
General office administration tasks
* General Record keeping – e.g. employee emails, cellphone number,
birthday list
* Company Vehicle & Driver management
* Maintaining stock levels for bar fridge
* Maintain stock levels on Marketing Collateral & Training booklets
* Management of Courier services on behalf of group
Assisting of other departments
Weekly timesheet reports for consultants & procurement
Formatting of proposals, presentations etc.
Confirmation of information – e.g. Banking details, VAT numbers etc. for clients
Member of Social Committee, responsible for social events within Group
