Job Description

Our Director is looking for a well-represented Personal Assistant. The job is permanent, given you have passed the 3 month probation period. When you are the ideal candidate you will receive increases as the director sees fit. Minimum 5 years of experience working as a Personal Assistant needed.

Requirements:

Acting as a first point of contact: dealing with correspondence and phone calls.
Managing diaries and organizing meetings and appointments.
Arranging travel, visas and accommodation.
Organizing events and conferences and exceed all expectations.
Reminding the director of important tasks and deadlines.
Typing, compiling and preparing reports, presentations and correspondence.
Managing databases and filing systems.
Implementing and maintaining procedures/administrative systems.
Liaising with staff, suppliers and clients.
Collating and filing expenses.
Meeting and greeting visitors at all levels of seniority.
Producing documents, briefing papers, reports and presentations.
Organizing and attending meetings and ensuring the director is well prepared for meetings.

Exceptional oral and written communication skills.
The ability to be proactive and take the initiative.
Tact and diplomacy.
Strong communication skills and the ability to interact with clients.
Excellent word processing and IT skills, including knowledge of a range of software packages.Including but not limited to Microsoft Word, Excel, PowerPoint etc.
The ability to work under pressure and to meet tight deadlines.
Good organizational and time management skills as well as the ability to multitask.
The ability to research, digest, analyze and present material clearly and concisely.
Excellent interpersonal skills.
Honesty and reliability.
High attention to detail.
Flexibility and adaptability to juggle a range of different tasks and to work extra hours to meet deadlines.
