MINIMUM REQUIREMENTS:

Grade 12 / Matric Certificate
Solid background/experience in coordinating the day-to-day running of a corporate office
Experience in providing Administrative Support to Executives
Highly computer literate in MS Office (Word, Excel, Outlook)
Experience in VIP is preferable
Extremely professional, well-presented, with exceptional communication skills in English
Values honesty and integrity
Great respect for company confidentiality

MAIN JOB DUTIES:

COMMUNICATION:

Arrange installation of new telephone points / handsets.
Report and follow-up on faults on telephone system.
Draw monthly staff reports and keep track of refunds due or report on possible misuse.
Updating of database with new / old user info.
Arrange for upgrades on company Cell Phones and reconcile staff refund schedule.
Attend to any insurance claim or repairs / replacements on damaged units.
Open and check all spam emails to forward any from the Canit site if they are not spam.
Update annual contact details with Telkom (Trudon).
Call out on Technicians (report book to keep a log) from Canon for copier machines.

OFFICE STAFF:

Ensure staff replacement for those on leave or off sick and re-assign others to assist where necessary.
Secure any Temp Staff required.
Run the Uniclox system for Time Cards. Adding new staff and deleting those who leave – general housekeeping of software.

IT:

In-house support on Hardware / Software failure prior to outsourcing.
Daily / Month-End backups on Server. Clearing of old files backed up.
Server Maintenance and Archiving.
Update annual anti-spam, virus controls, etc.
Liaising with DJP on new requirements for purchasing.
Obtaining quotations and follow-up on installations.

RNI INVESTMENT TRUST:

Liaising with DJP regarding building maintenance matters, parking, furniture, air conditioners & fittings, etc. for RNI.
Liaising with Tenants regarding repairs, aircons, building issues, etc.

GENERAL:

Control and purchase of all Groceries, Cleaning Supplies, Stationery, IT Consumables, etc.
Arrange snacks for board meetings.
Attend to all travel arrangements for Directors / staff.
Attend to Director’s Golf (Subs & Top-ups) & Subscription accounts.
Attend to diary for all Annual Payments to ensure continuity of subscriptions (Clubs, Newspapers, etc.).
Diarise and follow-up on Director’s Motor Vehicle licence renewals.
Assist with any requirements for Director’s & Staff office functions.
