Duties and responsibilities:
- Receive and assist clients upon arrival at reception.
- Advise relevant party of client’s arrival.
- Reserve conference rooms for meetings and lunches.
- Maintaining the electronic diary for all conference rooms
- In the absence of the Client Liaison Officer, provide the Admin Manager with a usage report monthly.
- In the absence and together with the Client Liaison Officer, Ensure the rooms vacated after a consultation is neat and in order.
- In the absence of the Client Liaison Officer, ensure stock is taken by the Main Kitchen of conference room fridges and ensure that it is stocked up each morning.
- Responsible for ordering refreshments for clients and ensuring the conference rooms are clean and neat after consultation.
- The intercom system and the parking boom gates allow clients to enter the parking areas.
- Issue the client with a parking exit card upon arrival, monitor and ensure all access cards issued to reception by security daily are accounted for.
- Issue of visitor access cards, record the information in an access card register. Ensure daily each card is accounted for before close of business.
- Any visitor card unaccounted for at the close of business, the onus rests with reception to notify both the
- Client Liaison Officer and Admin dept telephonically followed by an e-mail so that the access can be deactivated immediately.
- Receive and sign acknowledgement of receipt of all services.
- Record in a register and distribute services, to the partner/person concerned asap. Ensure that all recorded services are signed for each day.
- Report malfunctioning lifts, boom gates and turnstiles to the Operations Service dept via technical desk in Admin.
- Issue and manage parking Cards.
- Ensure that reception and conference rooms are always neat and tidy, this includes the reception desk.
- Monitor the flowers delivered to the reception area, and report wilting flowers to both the Client Liaison Officer and Procurement Officer in the Admin dept.
- Monitor the Coffee room and keep clean, ensure there are always clean cups and sufficient milk, sugar at all times.
- Report malfunctioning coffee room machine to the technical person in Admin.
- Alternate Working hours is: 07:30 – 16:30 / 08:00 – 17:00
Skills and knowledge
- Fully bilingual person with excellent communication, telephone and people skills
- Ability to work independently use initiative and be able to work under pressure while keeping calm
- Ability to prioritize and multi task.
- Exceptional organizational skills
- Knowledge of Outlook
Qualification/s
- Matric/or equivalent qualification
- Secretarial Diploma/Certificate (preferably legal)
- 2+ yrs relevant experience as a secretary
- Relevant experience in reception is advantageous
