Job Description

Calendar Management:

  • Manage Regional President’ (RP) calendar and set-up meetings.
  • Daily managing the calendar, schedule appointment, allocate and distribute time based on priorities.
  • Manage information inflow in a timely and accurate manner.
  • Group coordinating conferences/workshops/functions/meetings as required
  • Manage Regional President’s calendar and set-up meetings.

Office Administration:

  • Act as a point of contact among leadership team, associates, clients, and other external customers.
  • Act as an office manager by keeping up with office supply inventory.
  • Ad-hoc secretarial duties for the department such as expense claims, ordering/purchasing of office consumables, filing, etc.
  • Prepare and deploy RP’s general communications to all targeted audience.
  • Preparation and distribution of agendas, minutes of meetings, presentations, etc.
  • Providing secretarial and administrative support to the RP.

Travel Management:

  • Full understanding of the local travel policy and the application thereof.
  • Make travel and accommodation arrangements for the RP.
  • Coordinate travel, quotations, bookings, itineraries, and reconciliations for Local and Overseas trips in a timely manner.
  • Coordinate travel agenda alignment with various stakeholders.
  • All other ad-hoc tasks requested daily.



  • National Senior Certificate/ Matric is essential
  • Secretarial Diploma/ Office Administration, Management, or similar Diploma
  • Degree will be added advantage


  • Proven experience working as a personal executive assistant
  • At least 5 years’ + experience in a similar position
  • Proficient in all Microsoft Office Application
  • Good telephone etiquette
  • Fluent in English
  • Excellent Communication Skills
  • Exceptional customer service skills
  • Ability to multi-task
  • Detailed orientated
  • Pro-activeness and strong initiative
  • Ability to manage basic projects
