DUTIES:
Answering, screening calls, taking messages on all incoming calls
Establish standards and operating procedures to improve office efficiency
Management of contact lists
Organizing the bookings of the meeting room calendars
Management of key service staff members
Ensuring the daily efficient upkeep and maintenance of the office
Maintenance of database lists and their contact details
Ensuring appropriate stock levels are kept – coffee, water, cleaning supplies, etc.
Maintaining and updating the parking schedule
Communications with tenants when required by management
Experience in processing and preparing creditors for payment for a number of companies
Preparing sub-contractor payments
Liaising with sub-contractors to discuss payments
Multitask and prioritize weekly duties and work requirements
Liaise with suppliers, negotiate a discount when required
REQUIREMENTS:
Grade 12
Relevant tertiary qualification advantageous
Excellent communication skills and grammar in English
Own reliable transport advantageous
Ability to be comfortable dealing with all levels of staff from construction workers to the CEO
Meticulous work ethic and be willing to put in the extra hours when needed
Important to be willing to learn and be able to ask for help when and as needed
