To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.

Logistical and administrative contact person for the Academy
Manage and maintain in-house training facilities and equipment
Schedule, co-ordinate and monitor internal and external training activities including:
Course bookings
Venue bookings
Catering requirements
Printing of training material
Classroom set-up
Co-ordinate travel bookings
Printing and distribution of certificates
Populated registers
Collection of completed registers
Learning management system updates and maintenance
Maintain record keeping in accordance with statutory requirements, ensuring all training documentation is accurate, complete, and available for review
Assist with monthly reporting of key focus areas pertaining to the strategy…i.e. Training targets, deliveries, no shows, cancellations, total training days, ROI and changes to scheduling;
Compile statutory reports required for training
Consolidation of learning records for legislative reporting
Maintain updated curriculum database and training records (using client’s LMS, MyCompass) for all employees
Assist with compilation of monthly skills spend report
Act as point of contact for all external customers and suppliers:
Administer all accounts receivable enquiries and ensure invoices are paid
Key user/Administrator of PM and Basware systems, and help to ensure that all procurement best practices and protocol are followed
Attend and support all team meetings and contribute to projects

Education and/or Experience

National Diploma in Human Resources Development/Human Resources Management or any relevant training related qualification
At least 2 years’ experience as a Training Administrator, HR Assistant, or similar role
Knowledge of office procedures and billing
Providing administrative support for: Work Place Skills Plan (WSP), Annual Training Report (ATR) and B-BBEE, Skills Development Act.(SDA).
General experience/knowledge of all areas of the business

Knowledge, Skills and Abilities

Current driving license
Proficient in MS Office
Working knowledge of databases and Learning Management Systems (LMS) is a plus
Excellent organisational and multitasking ability
Effective communication and influencing skills
Knowledge of the heavy truck and bus industry
Excellent interpersonal, communication and presentation skills
Ability to build and manage key relationships and deliver excellent customer service
Constantly seek new ways to develop and improve our way of working
Ability to take initiative and work under pressure
Effective time management skills and ability to meet deadlines
People management skills.
