Logistics Administrator

Location: Denver (Industrial Area)

Salary: R10 000 – R12 000CTC (No Benefits)

About the Position:

Key Tasks and Responsibilities:

Retail- Orders & Invoicing:

Collate all orders, picking slips, delivery notes and invoices from customer systems, emails & E Commerce Systems.
Making bookings for retailer order deliveries via the relevant channels and following up to ensure bookings are confirmed as per required delivery date.
Discuss orders with management for approval.
Printing all Retailer orders and handing over to relevant warehouse staff
Placing all retailer orders on pastel evolution.
Confirming quantities of items to be delivered for each order and processing the invoice thereof on pastel evolution.
Obtain Dimensions and weights from warehouse for calculating cost of delivery on courier company e- portal.
Obtain quotes from courier companies for special deliveries.
Confirm with warehouse manager cost of delivery and obtain signoff.
Arranging collection of order deliveries with courier companies after receiving instruction from warehouse manager
Follow up on Deliveries of retailer orders by ensuring a valid POD is received.
Extract report from pastel for Daily dispatch report and verify orders dispatched.
Updating Proof of delivery (POD) spreadsheet daily.
Attaching waybills to invoices and orders daily and filing thereof.
Verify monthly courier bill against waybills, costing calculations and invoices.
GP Analysis
Administration and Management of returns and Claims from Customers

E- Commerce orders administration:

Printing all orders from e-commerce system and handing over to relevant warehouse staff
Updating status of orders on e-commerce system and printing picking slip, delivery note and invoice.
Compile control sheet of all orders in excel and hand over to warehouse manager.
Checks control sheet against courier company logs to ensure all orders dispatched for the day.
Attach waybills to invoices and orders.
Follow up on PODS and upload onto central filing system.

Query Resolution:

Collate all queries and discuss with warehouse manager.
Follow up on delivery queries with courier company.
Respond and reply to queries once investigated and resolved.
Ensure all queries are resolved daily.
Follow up with warehouse manager on all queries daily.
Answer warehouse telephone and assist with requests and escalate to warehouse manager.

Education and Experience:

Qualified/Studying towards Accounting/Commerce Degree or Diploma essential.
Minimum of 1-year experience within similar position or field.
Warehouse and FMCG experience essential.
Must have worked on an e-commerce system and order capturing system
Experience on working with courier or delivery companies and calculating cost of delivery.
Microsoft office experience – word; excel and outlook.
Excellent verbal and communication skills.
Strong computer literacy.
Ability to work under extreme pressure.
Ability to work in a fast-paced environment.
Good problem-solving skills.
