A position has become available for an Office Administrator & Personal Assistant to provide secretarial and administrative support to the directors, including but not limited to typing, reporting and statistical data, client and meeting management, travel arrangements, presentations, projects etc.Duties & ResponsibilitiesAdministration and SupportEnsure that the director’s telephone is manned at all times.Ensure that all junior staff are on duty during business hours. (Tea lady / cleaner, Receptionist and Info Desk Officers).Ensure that junior staff are well presented and groomed, and ensure that they deal with stakeholders in a professional manner. Ensure accuracy, efficiency and confidentiality in order to safeguard assets and eliminate risk.Attend all meetings and take minutes, keep proper record thereof and ensure timeously distribution. Make sure previous meeting minutes are received well in advance for confirmation at follow up meetings.Prepare information, presentations etc.
for meetings.Prepare and collate data, reports and information from all head of divisions for monthly reporting packs, adhere to strict distribution deadlines. Complete the directors’s reports for checking, before adding to the pack.Ensure that all documents are filed daily/weekly in a manner which ensures safekeeping and confidentiality.Ensure that all typing is accurate and timeously completed and that the appropriate letterhead is used.Organize and manage function arrangements as and when required.HR and Payroll: Capture monthly leave input and submit to HRReconcile overtime submitted by head of departments and submit to the director for authorization, submit to HR. Receive all personal information changes from employees and submit to HRAssist in coordinating all HR related presentations and wellness daysAttend to adhoc duties as requested by the director.Responsible for the stock levels of stationery and the ordering thereof.Plan and administer Line Management weekend duty roster.Monitor the services and management of office automation which iQualificationsMatricOffice Administration diploma or certificateRequired knowledgeExperience in using computer software to create reports, presentations, spreadsheet, and diary management and track enquiries.Skills/Abilities(3-5 years)Proficient typing and keyboard skills.Able to perform dictation and transcription task.Interested Candicate can apply here:
