Job Description

Reporting To: Office Manager

The receptionist will be the first point of contact for our company. The position is responsible for coordinating front desk activities, including corresponding and re-directing phone calls to the necessary parties. The receptionist will welcome guests and greet all people who visit the business. The receptionist will provide administrative support across the business.

Key Responsibilities

Greet and welcome guests, in a professional manner, as soon as they arrive at our offices.
Inform the relevant individuals of any guests who have arrived at reception to see them.
Provide all visitors with necessary refreshments.
Direct visitors to the appropriate person/ boardroom.
Answer and screen all phone calls in a professional manner.
Re-direct incoming phone calls to the relevant person.
Take down messages for any individual who is unable to take a call.
Ensure the reception area is always tidy and presentable.
Distribute any deliveries to the necessary parties.
Provide any adhoc admin support, such as filing, photocopying and faxing.
Assist with couriering of documents upon request from employees.
Purchasing and keeping track of all office stationery.
Assist with booking of boardrooms when needed.
Responsible for liaising with vendor when there are issues with telephones.
Co-ordinate set up for special meetings.
Purchasing and collecting of cakes and some groceries from Benmore shopping centre.
Keeping a detailed list of birthdays and sending out daily emails to employees.
Keep a spreadsheet of all parking bays and allocate to employees as needed.
Allocate access cards to new hires.
Drafting, renewing and updating of templates and documents.
Education and Experience

Minimum of 2 years professional experience as a receptionist and or experience in a corporate environment would be beneficial.
Experience on Microsoft Word, Excel, PowerPoint and Outlook advantageous.
Must have a car and valid licence.
