Admin Assistant wanted immediately: Salary R7 500 to R9 000 per month

An established IT company based in the CBD requires a well-spoken, mature all-rounder with a strong administrative background to join our Admin team immediately.
Based in the Admin Department of a small, busy IT company reporting to Senior Management
Act as office receptionist handling incoming calls, greeting and directing visitors
Handle the admin and paperwork of the technical team
Organize, manage & coordinate site installations
Log calls with service providers and follows up until resolution is reached
Provide regular updates and feedback to clients
Create and maintain Excel spreadsheet reports with formulas
Assist with internal sales process: Quotes, Orders, goods receiving
Perform a variety of routine clerical and office support functions, including filing
Manage calendars and schedule technicians’ appointments
Make travel arrangements for employees traveling on company business including flight bookings, car hire and accommodation.
Reporting – daily, weekly and monthly
Administration – Previous experience advantageous
Microsoft Office – Be proficient in Word, Excel, Outlook and Calendars
Excel – Ability to create and maintain reports and schedules, including formulas
Understand the sales cycle including margins, costings and ROE
SKILLS / MINIMUM REQUIREMENTS
Ability to multitask and work under pressure while maintaining a friendly and co-operative approach towards staff and clients and meeting deadlines and maintaining standards.
Professional in appearance, well-spoken and confident
Ability to communicate on a high level (verbal and written)
Excellent telephone and email etiquette
Excellent numeric skills
Must be accurate, organized, patient and punctual
Ability to work independently and as part of a team; willing to go the extra mile
Accustomed to working in a structured environment
Excellent administrative skills with attention to detail
Proactive and highly motivated to grow and improve skillset
Good understanding of stock control
Strong telephonic customer care service
Must maintain strict confidentiality at all times
ADVANTAGEOUS EXPERIENCE / SKILLS
Experience in QuickBooks, or similar accounting package
MS Outlook – Creating and maintaining appointments in Calendar
Exposure to the IT industry and products (working with technicians and job cards)
